Pilot Privacy Notice and Terms

Effective September 2026

Privacy is a product feature here, not a paragraph. The protections below are enforced in the database itself, not only in the interface. This notice covers the private university pilot of Second Wind.

What we collect, and why

  • Your name, email and team membership — so we can give you access and connect you to the right team.
  • Your check-ins (how you're arriving, what you need, how much time you have) — so the app can offer you one suitable practice.
  • Which practices you opened or completed, and what you said had changed — so your own history is useful to you.
  • Anything you write: reflections, values, Sage notes, saved practices — because the app is a place to think.
  • Optional feedback on a practice (whether you'd come back, plus an optional comment) — so we can improve the practices themselves.

Private from your coaches and teammates

Your individual check-ins and their history, your practice history, your reflections, your values, your Sage notes and your saved practices are visible only to you. Coaches, staff and teammates cannot see any of them, and cannot filter team data down to a person.

What coaches see

Coaches see aggregated arrival-state and need patterns for a whole team, and only once enough athletes have taken part — at least five. Below that threshold they see nothing at all. They never see names, individual answers, individual histories, usage, saved practices, values, reflections or your practice feedback.

What the Second Wind team can see

Second Wind administrators can see account identity and team membership (name, email, role, team) in order to run access and support, and can read the optional practice feedback you choose to send us, so we can improve the practices. They cannot read your private reflections, values or Sage notes. Practice feedback is never shared with coaches or teammates.

How long we keep your data

Personal athlete data is retained until 90 days after your team's season or programme end date, as recorded by your Second Wind administrator. After that period, personally identifiable check-ins, practice history and private reflections are deleted or irreversibly anonymised. During the pilot this is carried out as a reviewed manual step rather than an automatic job, so the timing is a commitment we keep by hand. Aggregated team patterns are kept without personal identifiers.

Export or deletion, earlier if you want

You can export everything you've written from your Profile at any time. You can also request deletion of your data or your whole account from your Profile. That sends a request to the Second Wind team — it is not an instant automatic deletion. We aim to respond within 7 business days, and the request itself carries only your account email, your user ID, your team and the time of the request.

Who can use Second Wind

Access is invitation-only during the pilot, and the platform is for adults aged 18 and over.

What Second Wind is, and isn't

Second Wind is a development and wellbeing tool. It is not therapy, diagnosis, treatment, medical care or crisis support. If you need care beyond the platform, see Support beyond Second Wind.
